Setting Up Service as Lesson

Set a service as a lesson so multiple clients can book it at once.

1. Click on the service
2. In the Service Type section, enable Lesson
3. Set the maximum number of participants (default capacity for new time slots)

The service is now set up as a lesson and you can create time slots for it.

Creating Time Slot for Lesson

Create a time slot for a lesson in the calendar. You can create a one-time slot or a recurring slot.

1. In the calendar, click New Lesson
2. Select the service (must be a lesson)
3. Set date, time and duration
4. Set the maximum number of participants for this slot
5. Optionally set a custom name for this lesson (otherwise the service name is used)
6. Optionally turn on auto-cancel and set the minimum number of attendees and how many hours before the start the lesson is cancelled if that minimum is not met
7. Select whether the slot should be recurring

Recurring Slots

Set recurrence for a slot to automatically create it at regular intervals.

1. Enable Recurring Slot
2. Select frequency (daily, weekly, monthly)
3. Set end date for recurrence (optional)

The system will automatically create all instances of the slot according to the set recurrence.

Automatic cancellation

When you create a lesson, you can turn on auto-cancel and set a minimum number of attendees. A group lesson service can store that as its default, so a new lesson starts with it and you can still change it for that lesson. If the lesson is still below that minimum a set number of hours before it starts, it is cancelled and everyone is refunded. Each date in a series has its own auto-cancel switch. Turning it off on one date leaves the other dates unchanged. Staff are warned beforehand. How early that warning is sent is set on the Lesson at risk notification, separately for the teacher and the owner.

Managing Reservations in Lessons

Clients can book spots in lessons directly from the booking page. The same client cannot register for the same lesson multiple times. They also cannot register when the lesson is full.

Editing and Cancelling Slots

Edit the date, time, name, capacity or auto-cancel cutoff of individual slot instances. Changes to one instance do not affect other instances.

1. Click on a slot instance in the calendar
2. Edit the name, date, time, maximum number of participants or hours before start
3. Save

Note: You cannot set the maximum number of participants lower than the existing number of confirmed reservations.

Cancel an individual instance or all instances of a recurring slot. When cancelling an instance, all reservations are automatically cancelled and clients receive a notification.

Tracking Occupancy

In the calendar, you can see the number of booked spots and maximum number of participants for each slot. This helps you track occupancy of lessons.
